Konica Minolta scan to email with Microsoft 365 after December 2026

If your Konica Minolta copier or scanner sends scans through smtp.office365.com with a mailbox password, Microsoft turns that off by default at the end of December 2026. What Konica Minolta says about Microsoft 365, where the settings are, and the quickest way to keep scans arriving.

What changes for Konica Minolta devices

Microsoft's notice MC786329: “End of December 2026: SMTP AUTH Basic Authentication will be disabled by default for existing tenants.” It applies to any device that signs in to Microsoft 365 with a username and password, whatever the brand. Admins can still turn it back on for now. Microsoft will announce the final removal date in the second half of 2027.

What Konica Minolta says about Microsoft 365

If you want to use OAuth authentication with your E-mail service, configure this machine to use OAuth authentication. This machine supports Microsoft and Google as OAuth providers.

Konica Minolta's OAuth 2.0 page lists the models covered, with the firmware for each. (See the list)
  • “Updated firmware supporting OAuth 2.0 has been released for the main models.” (Source)
  • “The updated firmware will be applied sequentially, either remotely or during the next visit by your authorized Konica Minolta service representative.” (Source)
  • “This function may not be available depending on the product you are using.” (Source)

Where the scan-to-email settings are

In Konica Minolta's instructions the device's browser settings page is called Web Connection (Source). Open it by typing the device's IP address into a browser on the same network, and sign in as the administrator.

Turning on OAuth, in Konica Minolta's words

  1. Select [Utility] - [Administrator] - [Network] - [E-mail Setting] - [E-mail TX (SMTP)] - [OAuth Settings] on the Control Panel of this machine, configure the following settings, and then tap [OK]. (Source)
  2. Refresh tokens can only be obtained via the administrator settings on the device panel. (Source)
  3. Obtaining refresh tokens via Web Connection is not supported due to technical limitations. (Source)

Whichever route you choose, you'll fill in the same handful of fields: the SMTP server, the port, the encryption, whether to sign in, and a username and password.

Your options on a Konica Minolta

1. OAuth, on models Konica Minolta lists

Microsoft recommends OAuth for devices that send through smtp.office365.com. The device keeps port 587 and TLS (TLS 1.2 or TLS 1.3) and signs in with Microsoft instead of a stored password. Follow Konica Minolta's steps on the page above.

2. CopierBridge, for devices that can't

Keep the device on a username and password. Turn on Authenticated SMTP for the mailbox it sends as (Microsoft's steps), connect that mailbox to CopierBridge once, add the device, and type these values into its scan-to-email settings:

Each device gets its own username and password. Port 465 with TLS works too. Messages go out from your own Microsoft 365 mailbox.

3. Microsoft's other routes

An SMTP relay connector (static IP, port 25), Direct Send or High Volume Email (both internal recipients only), or an on-premises Exchange relay. Each one is set out step by step in the full guide.

If scan to email stopped working

Read the message the Konica Minolta shows and look it up on Microsoft 365 SMTP errors, or work through scan to email not working.
